Job Description:

BASIC FUNCTION:Provides advanced secretarial and administrative support services to designated timekeepers; assists others as available.DUTIES AND RESPONSIBILITIES:Document preparation: Drafts routine legal documents for timekeeper's review, signature, filing and electronic filing; prepares documents from transcription, handwritten copies, and revises, proofs, and finalizes same; drafts routine letters and other correspondence for own or timekeeper's signature.Administrative duties: Retrieves, sorts and distributes timekeepers' mail; upon request, handles routine mail by responding or processing without direction from timekeeper; prepares various internal forms, e.g. copy, fax, messenger and check requests, expense reports, conflict requests, screening sheets; makes photocopies; runs errands inside the firm and outside as needed; sets up and maintains calendar of appointments, coordinates arrangements for meetings (schedules conference rooms, meals, sends out notices, etc.); assists with travel arrangements.Telephone and E-Mail: Answers telephone and takes messages; screens calls, and sets up conference calls as requested; retrieves messages from timekeepers' voice-mail and e-mail, and responds on behalf of timekeeper when necessary. Information Management: Sets up and maintains timekeeper address book and/or other computer databases as needed.--Timesheets: Enters, finalizes and transmits attorney time into system.Filing: Files documents in established files, keeps filing current, establishes new files, sets up working files, purges old files, sends files to storage, retrieves documents, all in paper and electronic form.Client Contact: Responds to routine inquiries from clients, providing information and/or materials with or without timekeeper direction; refers questions to appropriate timekeeper as necessary; initiates contact with clients and others as needed to obtain or provide information, discuss billing issues, etc.; greets clients in reception area and escorts them to meeting place.Personal Computer: Performs routine maintenance functions as required, including regular purging of documents from hard drive; maintains printer supplies for self and timekeepers; calls for assistance from computer services and printer maintenance staff as needed.Training and Education: Reads firm informational materials and attends floor meetings, training sessions and other informational meetings as required to maintain current working knowledge of firm's policies and procedures as well as the computer system, hardware and software requirements and capabilities, including updates on Microsoft Word, I-Manage, Excel, Outlook, CompuLaw, DeskSite, electronic filing programs and other software programs required and used within the firm.--Acts as a resource for other people within the firm, providing substantive information on firm policies and procedures as well as assistance with hardware and software problems.Desk: Maintains clean and organized desk and area surrounding desk; updates office lists as needed with appropriate information (i.e., passwords, client information, file location, etc.).Specialty duties and responsibilities: Determined by specific departments.Assists other secretaries, attorneys, receptionist and staff as available.Performs all other duties as assigned.QUALIFICATIONS: Advanced legal secretarial skills including: accurate typing of 80+ wpm; working knowledge of personal computers; advanced skills in Microsoft Word, Outlook and other software programs; ability to use standard office equipment (computer, printer, copy machine, telephone); excellent grammar, spelling and proofreading skills; and advanced knowledge of legal terminology.--Prefer high school education with 6-10 years legal secretarial experience or two years legal secretarial training plus 4-8 years legal secretarial experience.Advanced knowledge of one or more specialty areas (i.e., litigation, business, patent, transactional, etc.).Excellent communication and interpersonal skills to deal with a wide variety of people inside and outside the firm.Excellent organizational and prioritizing skills to handle the work of three or more timekeepers as well as a variety of administrative responsibilities.Ability to work effectively under pressure to meet tight deadlines.Excellent judgment, problem solving and decision-making skills to handle a variety of responsibilities under general supervision.
