PBX Operator & Medical Records Processing Technician

Job Description:

Primary Back-up for hospital PBX (switchboard)--routes calls to appropriate party, announces appropriate overhead pages to staff. Initiates telephone referrals to the appropriate person or department. Makes announcements as outlined in the Emergency Response / Fire / Disaster plans for Aspen Valley Hospital. Collects daily discharges and performs HIM operational record processes to facilitate timely readiness for coding, to include assembly/analysis (assignment of deficiencies), final analysis (clearing of deficiencies), loose material filing, transcription download and report distribution, MPI consolidation or information processing, in keeping with Best Practice HIM protocols. RM&P Specialist is responsible for workflow efficiency and complying with industry standards of chart management, content and authentication. Proficiency in the operation of standard office equipment including computers, knowledge of software, reader printers, copiers, fax machines, telephones and pagers is required. Prepares and scans records as assigned. Manages electronic medical record with accuracy and timeliness.

ESSENTIAL JOB DUTIES

Displays courtesy and efficiency in promptly answering and routing telephone calls

Responds to emergency response situations promptly and efficiently to ensure all communication procedures are executed as required

Triages calls requesting connection to patient care units to minimize intrusion on clinical units

Announces overhead pages in clear and concise manner, striving to limit such pages when able

Assists with medical record department functions such as assembly and scanning

Coordinates one or more patient visit type to include assembly, scanning, MRQA, analysis, final analysis, archive filing, transcription download, MPI consolidation, and data quality

Performs said duties with accuracy and within defined time requirements

Ensures productivity and quality standards are maintained daily to provide for timely access to medical records

Maintains knowledge of all information systems; Meditech, Galactica, ActiveFax, OBIX, Radiologic, etc.

Records pertinent documentation in accordance with regulatory requirements, professional standards and hospital policy.

Adheres to federal, state and hospital rules and regulations concerning HIPAA privacy and security.

Follows Hospital compliance plan and policies, including the Code of Conduct.

Participates in required training for compliance related activities (HIPAA, Compliance, Patient Safety, TJC, etc.)

UNIT SPECIFIC DUTIES & RESPONSIBILITIES / DAY TO DAY OPERATIONS

Answers all incoming external and internal calls in friendly and courteous tone

Understands and executes all emergency response plans for communications

Picks up, assembles, and scans discharged medical records; performs release of information duties

Greets physicians, staff, and public as medical record department representative

Coordinates the paper deficiency process for physicians and providers

Validates daily discharge census against scanned charts

Performs MRQA of scanned charts, within 1 business day Sunday-Thursday discharges and 3 business days Friday-Saturday discharges, to make charts available in GVII in a timely manner

Performs EHR analysis of scanned charts, within 5 days of discharge date, to make incomplete charts available to physicians/providers in a timely manner

Monitors physician completion of incomplete charts, clears deficiencies timely; and assures replacement scanning is up to date

Performs other assigned specific duties such as transcription download, data quality audits, NMI, Birth Certificate log, filing, reconcile Master Patient Index, Logging paper encounters for permanent destruction

Performs and logs release of information requests

EDUCATION/EXPERIENCE REQUIREMENTS

* High School Graduate or GED equivalent preferred

LICENSE/REGISTRATION/CERTIFICATIONS

* None required

* RHIT certification, preferred

KNOWLEDGE AND SKILL REQUIREMENTS

* Ability to concentrate and show attention to detail

* Relatively high degree of analytical abilities

* Strong interpersonal skills required

* Ability to work independently

* Multi-tasking skills required

* Ability to use computer and programs
