The Administrative Assistant III of the Library and Leaning Commons position is a full-time, benefited position that supports the overall operations of the department. This 12-month position supports the clerical, administrative, and operational functions of the department. Under general supervision, this position supports the management of the administrative services of the Library & Learning Commons, including the Ludden Library, and Writing and Communications Center, through collaboration, coordination, development of procedures, supervision, and monitoring activities. This position performs administrative duties through knowledge of standard office procedures, office computer software as well as college, system, state, and federal regulations. This position is responsible for confidential documents, supporting the logistical and operational functions of the library, maintaining supplies for all four departments, budgeting support, and maintaining library information for college, state, and federal reporting. This position is regularly scheduled to provide library patron services at the circulation desk including back-up for library accounting operations.

Essential Functions:
Essential Functions: (to perform successfully in this position, an individual must be able to perform essential duties satisfactorily as well as possess education/experience, employ the knowledge, skills, and abilities as listed in representative fashion; reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions this position is Non-Exempt, i.e., is eligible for compensatory or overtime pay provisions of the FLSA. Department Operational Support:
  • Provide support to the Associate Dean, Director of Learning Commons, Librarians, Faculty, patrons, and department staff
  • Provide excellent customer service in serving as the first point of contact for visitors, students, and other departments through responding to general inquires in person, phone calls, emails, etc. As needed, direct inquires to the appropriate department team member
  • Provide library patron services including regularly scheduled coverage at the circulation desk, back-up library accounting operations in the absence of the Public Service Specialist, and assist with monitoring status of public facilities and equipment
  • Coordinate and assist with public notifications of program services and events including creation of promotional materials in accordance with college standards
  • Display cooperative, courteous and respectful interaction with coworkers and supervisor to promote productive teamwork
  • Participate in meetings, conversations, and record reviews with department personnel and students.
  • Collaborate with the Colleges various departments to support the operational needs of the department including but not limited to: completion of forms, procedures, event planning, solicit approvals, assist in organizing/logistics of meetings, etc. (e.g. PAFs, service requests, meeting minutes, travel requests, etc.)
  • Assist the department in preparing, submitting, and filing various reports, record keeping, maintaining department files, and necessary documentation
  • Support data entry of information and overall operation of department software and systems
  • Notify and assist the Associate Dean and staff with any potential safety, emergency, equipment, or facility concerns in accordance with college policies
  • Assist with implementation, compliance, and revisions to existing LCCC policies and procedures

Budgetary, Supply, and Procurement Support:

  • Assist Associate Dean in budgeting functions by managing records and reconciling all expenditures; support annual budget request documentation
  • Manage Library Cooperative purchases including maintain contract records, payment of invoices, and reimbursement from the Wyoming Community College Commission
  • Generate and maintain files for purchase orders, p-card purchases, requisitions, and other expenditures; maintain strict adherence to LCCC Purchasing Guide, P-Card Purchasing Manual, and other procurement policies and procedures
  • Monitor and order general supplies and equipment for the department and support individual team members as needed in accordance with the Colleges purchasing card policies

Other tasks may be assigned based on contemporary institutional need.

Nonessential Functions:
An employee in this position may perform some of these responsibilities on an infrequent basis.
  • Support and assist student clubs or groups as appropriate
  • Assist the College in local, state, regional, or national projects and programs, boards, committees or groups when appropriate
  • Solicit feedback and implement suggestions from students and peers
  • Assist with and attend special events
  • As required attend college, division, and program trainings and/or meetings. Overnight travel may be required
Knowledge, Skills, and Abilities:
  • Advanced working knowledge and ability with personal computing applications specifically Microsoft Office Suite (e.g., Word, Excel, Outlook, and PowerPoint), Adobe products (e.g., Reader, Professional), as well as database management systems
  • Skills and abilities to perform as an organized self-starter, and able to handle expeditiously, accurately, and confidentially the rapid receipt of communications from all sourceswritten, email, voice mail, and one-on-one with attention to detail; able to act on own initiative while exercising reasonable judgment
  • Excellent customer service skills; ability to communicate clearly with a variety of people, in one-to-one and small group settings either face-to-face, by telephone, or by other electronic means
  • Ability to communicate in an informative manner, effectively listen, and be able to handle escalating situations with concern and confidence
  • Ability to respond to common inquiries from college faculty and staff, regulatory agencies, vendors, regional business community, and others as may be necessary
  • Knowledge of basic office equipment including (but not limited to) personal computer and associated peripherals, fax machine, multi-line telephone, voice recorders, and other electronic devices
  • Ability to effectively and professionally execute the essential functions of this position with proven capabilities in establishing appropriate professional rapport, communicating with courtesy and tact, accurately determine others needs, collecting necessary information, and follow-through when requested
  • Knowledge of confidentiality requirements for higher education (College policy, FERPA, etc.)
  • Ability to travel when necessary
  • Ability to read and interpret instructions in oral, written, or diagrammatical form (e.g., a flow chart of a process) and consider possible applications of business literature and legal documents

  • There may be multiple/daily instances of prolonged sitting, standing, and personal computer use, which would include keyboard and/or mouse usage as well as viewing a computer monitor
  • An employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 35 pounds to perform essential position functions
  • Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus
  • The overall work environment requires the mental ability to shift focal point quickly due to interruptions; an employee must be able to mentally track multiple projects and tasking as well
  • The noise level in the work environment is usually moderate; however, there may be unexpected instances of somewhat loud sounds
  • Associate Degree from a regionally accredited institution
  • Two years of experience providing customer service or administrative assistance in a detail oriented, computerized, and/or data-oriented environment; including detailed use of common office software programs
  • Four years of experience in a customer service, office management, and/or clerical assistance environment
  • Two years of experience with information management systems/software and data entry
